How do you become my registered agents and what does this mean?

We register as agents online with HMRC and you receive an authorisation code in the post. Once you provide us with this code we complete the setup and become your registered agents with HMRC. This allows us to speak to HMRC on your behalf. We need to setup as agents for each service i.e. VAT, PAYE, Corporation Tax, Personal Tax.

Will I have to deal with HMRC and Companies House?

No. We take care of everything for you. As agents we will get a copy of most HMRC correspondence, but Companies House correspondence will go to the registered office address so just make sure you forward any correspondence to us as soon as you receive it and we will deal with it.

What if I need more support?

The proposal sets out the agreed level of service and we include answers to quick frequently asked questions within your fee. However as your business grows and the level of support and advice increases we would revise the proposal inline with the support you need. For example if the number of transactions increase extensively, headcount increase for payroll etc.

There may be occasions where you need one-off pieces of work completed in addition to the initial proposal, such as stock transfers, adding new directors, support with mortgage applications. A cost for this support will be agreed in advance.

Do you provide Xero training?

Yes. We can provide face to face or if you are more tech savvy we can arrange a webinar. We design each session into focus areas that are no longer than 1 hour to make sure you are not overloaded with new skills and you get the most from each session.

How can I go paperless when I am given paper receipts?

Easy – you just need to take a photo of the receipt or invoice using the AutoEntry app on your phone and it will be uploaded and processed to Xero. What’s best is the picture of the receipt will be attached to the transaction. Our team login to AutoEntry and Xero everyday so we can guarantee your receipt will be processed to Xero within 24 hours if we are preparing your bookkeeping.

Can I switch to you part way through my accounting year?

Yes. We would put together a package that would include the agreed annual work plus the additional work to finish off your accounting year.

Is outsourcing safe?

Yes. We have safeguards and insurance in place to ensure a top-level service and your data is secure and safe. Our team login to the cloud so your data doesn’t go anywhere.

How can I cover the cost of a HMRC enquiry?

If you take out our fee protection service this covers the cost of us defending you against HMRC enquiries. We are backed by an insurance provider which pays us for the fees you ordinarily would have to pay for. The best bit of all is there is no excess to pay and if you take out a company scheme it also covers you personally as a director. This is tax deductible and you can reclaim the VAT on our fee.

How do I know when my tax is due?

We will provide you with due dates when we send the accounts to you for approval. You can also see your due dates within your Client Portal so you do not forget.

Do you provide a registered office facility at your office?

No but we can arrange for a virtual office address at another location.

How long will it take for me to switch my accounts over to you?

We can get you setup on our system very quickly. What takes the time is getting the HMRC authorisation codes by post (around 7 days) and receiving professional clearance from your previous accountant.

How secure is Xero?

Xero backs up your data and protects it with multiple layers of security including industry-standard data encryption and secure data centres. They also offer two-step authentication as an additional layer of protection for your Xero account which we use and strongly recommend.

Can I use Xero on all my devices?

Yes from any internet-connected device – phone, tablet, or computer. Compatible with iOS and Android.

How does the direct debit work with your fees?

We sign you up with our direct debit provider Go Cardless. A direct debit payment will be taken 10 working days after the invoice is sent so you do not have to worry about remembering to pay us.

Are you Qualified Accountants?

Yes. We are fully licensed and regulated by the Association of Chartered Certified Accountants (ACCA) with professional indemnity insurance.
